Archiving a Team

When you are no longer actively working on Team files you can consider archiving the team.

Archiving a Team library essentially locks the content so no changes can be made, and hides the team so that it no longer appears in your Teams List.  If you are not net ready to Archive a team, you can consider just removing all members from the Team and waiting until you are ready to archive it.

Teams can be Archived and un-Archived by an administrator, so please contact our helpdesk if you need either action performed.

Before archiving a team an Owner must be specified. The specified owner can then add and remove people from the Team Library at any time should someone need access information, without the need to contact our helpdesk.

Important Note:

Archiving a team will not remove the locally synced files in file explorer. If a person was previously syncing the Team to their computer the sync remains active, however, the files are locked in a read-only state preventing file changes. Any new files added to the archived team will cause a sync error in OneDrive and will not upload to the cloud.

All users who have synced the team should stop syncing the team library as per the steps in the linked KB: Stop syncing a library with the OneDrive for Business App

Archiving Process

  1. Nominate an Ower for the team and provide Unlock support the Team's full name
  2. Staff need to stop syncing the Team library as per the steps in the KB: Stop syncing a library with the OneDrive for Business App
  3. Unlock Support will remove all Team members
  4. Unlock Support will Archive the team library
