How does Email Signature Automation work?

The Xink Tray Utility will automatically deploy to your computer and will create your personal Email Signature based on the Corporate Email Template.


NOTE: If you notice any issues with your email signature (wrong phone number or Job Title), please contact our Helpdesk. Avoid manually editing your Email Signature as your changes will be overwritten.


Outlook on Windows


In Outlook on Windows, the Signature will be automatically created and maintained and is visible in Outlook as you compose an email


Outlook Online


In Outlook Online, the Signature will be automatically created and maintained and is visible in Outlook as you compose an email 


Outlook on Mobile


In Outlook on Mobile, the default signature will be replaced with the Corporate Email signature AFTER the email is sent. For this reason, you will not see the Signature on emails in your Sent Items folder. 

NOTE: The system will only replace default signatures (e.g. Sent from my iPhone) so if you have previously customised your Email signature on your phone you will need to reset this to default or set it to: {EMAILSIGNATURE}


Customisation


Your Corporate Email Template may contain some fields that you can modify. This is generally the salutation line (e.g. Regards,) or a notation containing your working days. You can modify this information using the Xink Tray Utility.


1. Open the Xink Tray Utility, select "My Contact Details"


2. Make the necessary changes and click Save. Your email signature will be automatically updated.


In the screnshot below the default salutation is "Regards," - you can change this to your personal preference. e.g. "Cheers,"
