Summary


The Email Signature Template System is template-based and will ensure that there is a consistent email signature for all staff, both from Outlook and from Mobile emails.


Your new Email Signature will be visible in Outlook when you compose a new email or reply to an existing email, however, for emails sent from your mobile device the Signature is added in transit so you will not see the Signature on emails you send from your mobile - but the recipient will.


Emails sent from Mobile device will have the default signature (e.g. Sent from my iPhone) replaced with your signature template - if you have already customised your email signature on your mobile device you will need to revert it or the replacement will fail.


The signature template will pull your personal information (Name, Position, Phone number etc) from your user account on the system - if there are errors please let Unlock know via support@unlocktechnology.com.au. Please do not customise your email signature as your changes will be overwritten - if you have any feedback please advise your manager.


You will receive setup email with instructions on installing an application on your computer that will manage your email signature. The application will also allow you to enter your working days for those staff on reduced working days.


Detailed Instructions


  1. You will receive an email with a link to download and install an application to manage your email signature, along with a personalised code to activate the application. Please do this immediately on any device you use Outlook on. The activation code is linked to your account so don't forward it to other staff or there will be a conflict.

  2. Open a new Email and verify your details are correct in your new email signature before sending any emails.

  3. Staff that are on reduced working days will need to right-click the application in the system tray (look for the icon that looks like a sheet of paper), and select "My Contact Details" then input your "Work Days". e.g. "Monday, Tuesday and Friday". After you do this, select "Update Now"




  4. If you have customised your email signature on your mobile from "Sent from my iPhone" to something else, you will need to set it back to "Sent from my iPhone"
